How this works

The bits that aren't obvious from the buttons.

The four columns

To Do — not started. In Progress — you're actively on it.

Waiting — you did your part and someone else owes you something. Set who you're waiting on and a follow-up date; the task resurfaces on that date instead of cluttering In Progress.

Done — finished. Done tasks move out to History so the board stays clean.

Owner vs. Collaborators

Exactly one person is the Owner — they're accountable for it. Anyone else who needs to help or follow along is a Collaborator. Splitting a task across several people with no clear owner is how things fall through the cracks, so the app doesn't allow it.

Inbox — capture first, sort later

Inbox exists so you can get something out of your head in three seconds — just a title, nothing else required. "Call John about roof." Later, whoever is processing Inbox adds the area, category, owner and dates.

Later — what's still ahead of you

Some work is real but not yet actionable: cancel the subscription eleven months from now, before it renews. Give the task a back on the list date and it waits in Later — off the board, out of My Day, out of the digest — until that day comes round.

On the day, it reappears in its column and you're told it's back. A due date still means the deadline; the back-on-the-list date only decides when you start seeing it.

The Later tab lists exactly the tasks that aren't on the board yet, by the month each comes back in. Each row can be brought back to the board, edited or binned from there.

Who can see what

You always see tasks you own or collaborate on. Beyond that, an admin gives each person a visibility list — the people whose tasks they're allowed to see. An accountant might see just you; an assistant might see everyone.

Marking a task Private restricts it to its creator, its owner and anyone explicitly added to it — including hiding it from admins. Private means private here.

Templates & recurring tasks

A template is a saved task or checklist you can create in one click — "Prepare house for winter" with all eight steps and their usual assignees.

A recurring task regenerates itself. Choose fixed schedulefor things like "the 1st of every month", or after completion for things like "every 3 months after the last oil change". Editing one occurrence never rewrites the rest of the series.

Offline

Installed on your phone, the app keeps working without signal: you can read what's already loaded, capture new tasks, edit fields and move cards. Those changes sync when you're back online. Attachments, invitations and Settings need a connection.
